What are we looking for

The Marketing Ops Coordinator is responsible for keeping marketing execution moving by owning scheduling, tracking, reporting, and coordination tasks that reduce bottlenecks and protect senior team time. This role is ideal for someone who thrives on structure, consistency, and follow-through—and can work independently once trained.
** This is an entry or early stage operational and logistics-focused role, not a creative or design position.

 

Location: The position is remote and open to candidates across the US though EST is preferred. On camera video calls and occasional travel to our NJ office is required. Candidates local to the office will be expected to attend the office in person at least 2 days a week

 

This Role is:

  • Operational, administrative, and process-driven
  • Focused on scheduling, tracking, reporting, and execution support
  • Suited for someone who enjoys systems, checklists, and keeping teams on cadence
  • A great entry point for someone who wants to learn more or grow a career in marketing or sales support

This Role is not:

  • A creative, design, or content-creation role

  • Responsible for copywriting, visual design, or brand strategy

 

Roles & Responsibilities:

Collaboration & Escalation

  • Schedule and send approved content across designated channels (email, social, website etc.)

  • Collect and maintain relevant performance metrics (e.g., posting cadence, engagement signals)
  • Ensure content is published on time and aligns with planned schedules
  • Maintain internal communications to update our team when new campaigns go out
  • Perform manual tracking tasks such as obtaining LinkedIn buyer intent, monitoring new follower additions, and logging various channel engagement/activity into a dedicated MQL spreadsheet

Content Quality & Proofing

  • Proofread outgoing content for clarity, accuracy, formatting, and basic brand alignment

  • Ensure final materials are error-free prior to publishing or distribution
     (Note: This role does not create original content.)
  • Manage a document control spread sheet to track what resources are actively in circulation

Marketing Operations & Conference Support

  • Assist Marketing Manager in preconference/event planning; obtaining event info, on-going tracking and event-related to-dos, and post-event workflows and follow-ups

  • Own shipment and tracking of conference materials
  • Support internal communication and coordination between Marketing, Sales, and finance for event-driven activity

Workflow & Systems Management

  • Maintain and update Monday.com boards for accuracy and visibility

  • Assist the team in tracking task ownership, deadlines, and completion across initiatives
  • Make responsibility for sending cadenced reports to marketing, sales, and C-level leaders
  • Schedule recurring meetings, own notetaking, and maintaining calendar coordination

Sales Support

  • Assist with contact sourcing and list building

  • Support list hygiene (organization, basic validation, de-duplication)
  • Prepare and maintain clean, targeted lists for outreach and campaigns

 

What Success Looks Like

  • Marketing and Sales operate on consistent schedules and cadences

  • Content is published accurately and on time with minimal revisions
  • Systems and reports are always current and reliable
  • Senior team members spend significantly less time on administrative work
  • Tasks are completed independently, on time, and with strong attention to detail

Qualifications:

  • 1–3 years of experience in marketing operations, sales support, or administrative roles

  • Enjoys operational work, coordination, and maintaining structure
  • Strong organizational and time-management skills
  • Comfortable using or learning tools such as Monday.com, LinkedIn, spreadsheets, constant contact (email), ChatGPT and CRMs (Hubspot)
  • Experience working with data, analytics, and maintaining spreadsheets
  • Able to manage multiple tasks without close supervision
  • Proven reliability and follow-through
  • Comfortable working independently after onboarding

 

Growth & Development:

This role includes structured onboarding, clear expectations, and ongoing support. Over time, scope can expand for someone who demonstrates ownership, consistency, and operational excellence.

Non-Technical / Behavioral Competencies required:

  • Must have worked with US based clients in onsite/off shore delivery model
  • Strong verbal and written communication, technical articulation, listening, and presentation skills are essential
  • Should have proven analytical and problem-solving skills
  • Demonstrated expertise in prioritization, time management, and stakeholder management (both internal and external) is necessary
  • Should be a quick learner, self-starter, proactive, and an effective team player
  • Must have experience working under tight deadlines within a matrix organizational structure
